We are looking for a Cologne based Front Office Supervisor (m/f/d) who overseas and manages the reception area to ensure welcoming and efficient operations.
Your challenges
•    As first contact for guests and customers you provide a great first impression to them
•    Welcome and serve guests in person, via mail and over the phone
•    Responsible for staffing the reception desk, act as an interface to the facility management team, be the contact person for our subtenants, and take care of our employees
•    Dealing with relevant requests from service providers that arrive at your office
•    Coordinate the staffing of the reception at (off-peak) times with our security service provider
•    Together with the facility management, you will thus ensure a smooth daily routine with regard to operational "domestic" issues
•    Manage in-house conference rooms, postal services and parking spaces
•    Create and execute new processes and establish standards in office management
•    Work closely and cooperatively with our CEO's assistant and support her in particular with travel planning and the delivery / logistics of confidential documents of the CEO.


For this exciting mission you are equipped with…
•    Several years of professional experience in administrative and organisational processes
•    A natural passion for delivering exceptional service with strong organizational skills as well as dealing with issues in a professional manner, even if these are not directly related to your area of responsibility
•    Proactive and friendly attitude combined with good manners, maintaining a warm and friendly demeanor at all times
•    Ability to prioritize work in a fast moving environment while maintaining the overview
•    Handle necessary topics with confidentiality and possess the necessary determination to carry out your work
•    Very good knowledge of MS Office and Outlook
•    Fluency in German and in English, both spoken and written
