We are the People Solutions Team, a diverse and international team of people heroes driving all employee lifecycle topics for the HRS Group. We love to make it happen for our tribe of intrapreneurs and always think from the customer when developing new HR products.  

POSITION

We are looking for a friendly and organized Front Office Manager - Receptionist (all genders) to join our team at our head office on Bresslauer Platz, right across from the iconic Cologne Cathedral!

In this role, you’ll be the first point of contact for guests and colleagues, creating a warm and welcoming environment. You’ll play an important part in making great first impressions and ensuring everything at the front desk runs smoothly. Reporting to the People Operations Team, you’ll work closely with others and help create a positive and memorable experience for everyone who visits our offices.

CHALLENGE

  • Be the First Point of Contact: Serve as the primary contact for guests, customers and colleagues, ensuring a welcoming and positive experience both in person and via communication channels like mail and phone.
  • Oversee staffing of the reception desk, coordinate with the facility management team, and serve as the liaison for our subtenants and service providers.
  • Manage in-house conference rooms, postal services, and parking spaces, ensuring smooth daily operations.
  • Develop and implement new processes and standards in office management to enhance efficiency and service quality.
  • Work closely with the CEO’s assistant, providing support in travel planning and handling confidential document logistics.

FOR THIS EXCITING MISSION YOU ARE EQUIPPED WITH...

  • Professional experience in administrative and organizational roles, ideally within the hospitality industry.
  • Passion for delivering exceptional service.
  • Proactive and friendly attitude with impeccable manners, capable of handling various issues professionally.
  • Ability to manage and prioritize tasks effectively in a fast-paced environment.
  • Confidentiality and Determination: Skilled in handling sensitive information with the utmost confidentiality and the determination to see tasks through to completion.
  • Proficiency in MS Office and Outlook.
  • Business fluency in both German and English, spoken and written
