Join our dynamic People Solutions Team as a Work Place Manager encompassing People as well as Workplace Management, where professionals are dedicated to fostering a modern workplace and elevating organizational capabilities globally. Our focus is on applying SaaS industry standards to our employee programs. Based at our headquarters in Cologne, Germany, we drive initiatives that empower our teams to excel in their roles and beyond.
 

POSITION

An exciting opportunity awaits a dedicated Work Place Manager who takes pride in creating a welcoming environment for both guests and colleagues. This role is crucial in shaping a positive first impression and delivering exceptional service. Reporting to the People Operations Team, you will be hands-on, working closely with different teams and overseeing the reception area, creating a memorable experience for everyone who enters our premises.

CHALLENGE

  • First Point of Contact: Serve as the primary contact for guests, customers and colleagues, ensuring a welcoming and positive experience both in person and via communication channels like mail and phone.
  • Operational Management: Oversee staffing of the reception desk, coordinate with the facility management team, and serve as the liaison for our subtenants and service providers.
  • Facility Coordination: Manage in-house conference rooms, postal services, and parking spaces, ensuring smooth daily operations.
  • Process Improvement: Develop and implement new processes and standards in office management to enhance efficiency and service quality.
  • Collaborative Support: Work closely with the CEO’s assistant, providing support in travel planning and handling confidential document logistics.

  • Experience: Several years of professional experience in administrative and organizational roles, ideally within the hospitality industry, demonstrating a passion for delivering exceptional service.
  • Interpersonal Skills: Proactive and friendly attitude with impeccable manners, capable of handling various issues professionally.
  • Prioritization: Ability to manage and prioritize tasks effectively in a fast-paced environment.
  • Confidentiality and Determination: Skilled in handling sensitive information with the utmost confidentiality and the determination to see tasks through to completion.
  • Technical Skills: Proficiency in MS Office and Outlook.
  • Language Proficiency: Fluency in both German and English, spoken and written.
